  6. My dictation is coming up with doubled letters or and/or duplicate words.

    Example:

"amamazingly advancednced speech recognitiotion for tr the Mac don'tn't spend hours typing at dramatic... proroofreading... correctrecting errors... an. and then typing somee moreore."

    Possible Cause

Text Expander, or another “automatic text completion” program may be installed and running. You start typing and the program tries to complete each word or phrase for you. Dictate is placing the word onto the "page", and Text Expander is trying to help it along, so you get duplicated portions of words.

    Suggested Workaround

Make a Hot Key for Text Expander to turn it off when you use MacSpeech Dictate in dictation mode, and then back on when you are done.

If this does not solve the problem, please contact MacSpeech Support.

  13. I’m having a problem installing MacSpeech Dictate.
Note: If you have already tried unsuccessfully to install MacSpeech Dictate, please drag any MacSpeech Dictate icons out of the Applications folder to the trash can before continuing with these steps.

Please follow the steps below to properly install Dictate:
    1. Insert Disk Labeled “Application Disk”
    2. Once the disk is mounted it will open a new window.
    3. Drag the Dictate icon from that window to the Applications folder. Double-click the Dictate icon from inside the Application folder. (NOTE: This is the icon in that window with a green arrow pointing to it. Do NOT drag the CD icon to the Application folder, that will simply create an alias. Also, do NOT double-click the icon with the green arrow – instead, please DRAG it to the Applications folder).
    4. Launch the Dictate Application.
    5. You should see a request to insert the data disk. (If this doesn’t appear, just eject the Applications Disk and insert the Data Disk)

    7. Register the software. When registering make sure that you enter the registration code correctly as it is case and punctuation sensitive.

  14. My copy of Dictate keeps crashing when I attempt to create a profile. What’s going on?
One possible cause of the profile crash is a bad Data Disk. This happened to a number of Dictate Disks that were shipped before March 31, 2008. We have created a Dictate Data First Aid Utility to help fix this (see below).

    Symptoms
The symptoms for most people, if they have a bad disc, are as follows:
    • DVD is blank
    • DVD won't mount properly
    • DVD that does mount and has the wrong name: the correct name is "MacSpeech English Data"
    • DVD that does mount and is named correctly contains non-MacSpeech data
    • MacSpeech Dictate crashes when creating a profile.

    Solution:
If you suspect this to be the problem, please download the Dictate Data First Aid Utility, which is designed to fix your installation disk without requiring a replacement CD or DVD.

If you think you're affected, you can do one of two things: contact tech support for a replacement, or if addressing a crash when creating a profile you can run the Dictate Data First Aid utility available from the link below.

If your disc exhibits anything but the crash when creating a profile, please contact MacSpeech Technical Support for a replacement. If you contact tech support for a replacement, we are asking customers to send us their bad discs, when they receive a new one (a postage-paid envelope can be sent to you, please ask). To truly solve a problem, one must know the cause of the problem. Sending the disc back can prevent this type of occurrence from ever happening again.

If you prefer to run the new Dictate Data First Aid utility, please read and follow the instructions below precisely. The link below will allow you to download the utility called Dictate Data First Aid:

    http://www.macspeech.com/release/Dictate_Data_First_Aid.zip

This utility will assist in fixing your profile creation issue. The profile crash that you experienced is potentially due to a corrupted installation of the Dictate Data files. This may have been caused by a faulty DVD or an issue that occurred during installation. The Dictate Data First Aid will identify which files, if any, have been corrupted. Once identified, Dictate Data First Aid will download uncorrupted replacement file(s).

The following are the steps for using Dictate Data First Aid:
    1. Download the compressed application from the url sent to you in this email
    2. Unzip the application if your browser has not already do so for you
    3. Please make sure that MacSpeech Dictate is not running
    4. For proper use you must be connected to the Internet when running Dictate Data First Aid
    5. Launch the application named "Dictate Data First Aid"
    6. Please click the button named Check Data
    7. This will then check your Dictate Data folder for any corrupted files

At this point you will get a report of either corrupt files or the fact that you have no corruption. If you have corrupt files Dictate Data First Aid will inform you that you must be connected to the Internet and that you should repair your data. Please click on the button marked Repair Data. This will start a download from our server that will replace the corrupted files with new ones. At no time is any information from your system sent to our servers. This process is just a request from Dictate Data First Aid for the uncorrupted files. Depending on the files the time to download will vary. Dictate Data First Aid will report how many files it needs to download in the bottom of the window. Dictate Data First Aid will report when it has finished with the message "Replacement of corrupted files is complete." You may receive a message that there was an error during download. If you get this message then all you need to do is click the Check Data button again and repeat the Repair process. After Dictate Data First Aid is finished downloading you are free to quit Dictate Data First Aid. Please launch MacSpeech Dictate and create your profile. If you continue to have issues please contact our Technical Support with the information below.

If you experience other issues with profile creation and do not have any corrupted files please contact our Technical Support for further assistance.

  18. How Do I Check The Status Of An Order?
Every order placed with us generates an automatic confirmation email with instructions on how to check your order status. If you did not receive a confirmation email, either you provided an incorrect email address or you did not confirm your order as the last step in the ordering process.

The most common reason for not receiving a confirmation email is because you did not confirm your order as the final step in the ordering process. If you did not receive an email confirmation, and you are confident you provided a correct email address, then your order is most likely still in your shopping cart, awaiting your confirmation. To verify this, do the following:

    1. Point your browser to www.macspeech.com.
    2. Click the word "Store" at the top of the page.
    3. Click the word "My Account" in the blue bar on top of the page, just below the masthead, on the right.
    4. You may be asked to log in. If so, enter your email address and the password you provided when you placed your order.
    5. Verify your Account Information is correct, then press the "Order History" button at the bottom of the page, in the middle. (You may have to scroll down to see it.)
If you placed an order but: do not see an Order History button at the bottom of the page, or do not see your order listed after clicking Order History, or did not receive an order confirmation, you most likely did not confirm your order as the final step in the ordering process. You can check this by clicking the "Cart Contents" link on the right part of the blue bar just below the masthead on the top of the page. If there are products in your shopping cart, then you did not complete the ordering process. You may continue from this point. Don't forget to confirm your order.
    6. If your order is correct, continue with the purchasing process, making sure to confirm your order as the final step. If your cart is empty, you will have to place your order again.

All confirmed orders receive an automatically generated confirmation email with instructions on how to check the status of an order. If you do not receive a confirmation email, please call (603) 350-0903 for further assistance. If you get voice mail, please leave a message and one of our support reps will return your call.

  19. What To Do If An Order With Our Online Store Is Not Accepted
Most problems with an order can be traced to an issue with what is entered into one of the required fields. In this era, where identity theft is so common, credit card companies are requiring the information they receive identically match what they have in their records in order to approve a transaction. There is nothing MacSpeech can do about this problem, other than offer the following suggestions:

First, contact your issuing bank and confirm that the failure is not related to problems with them. If the issuing bank confirms that there is no problem with your account then please make sure of the following when entering information into the required fields in our web store:

    - All digits of the the credit card number must be entered in a single sequence with no spaces or dashes.

    - Orders can only be processed if the address information that you have given matches EXACTLY with the information on your bank billing statement. You cannot abbreviate the words "street" or "avenue", add hyphens or "#" symbols to your address, or leave out apartment numbers, or change your zip code, etc. from what your financial institution has on its records for you. (For example, if the address on your credit card billing statement says "1234 Main Street" but you enter "1234 Main St." into our web store, your transaction will be rejected.) You may have to check your bank to verify how your address appears in your credit card company's records.

    - There may also be a CVV code error. CVV error is associated with the 3 or 4 digit code, usually found on the back of your card in the signature panel, or on the front of the card, on the right side over the last digits of your credit card number.

Also, many error messages can be resolved by deleting the cache and cookies from your computer.

    To do this in Safari:
    1). Open Safari
2). Select the Empty Cache... menu item from the Safari Menu

To do this in Mozilla ( Netscape, FireFox, etc ):
1). Open your browser and click on Tools.
    2). Click on Options.
    3). Select Privacy.
4). Click on the buttons to "Clear" your "Cookies" and "Cache".

    To do this in IE:
1). Open Internet Explorer and click on Tools.
    2). Click on Internet Options.
3). On the General Tab, in the middle of the screen, click on "Delete" Files.
4). You may also want to check the box "Delete all offline content".
5). Click on OK and wait for the hourglass icon to stop after it deletes the temporary internet files.
6). You can now click on Delete Cookies and click "OK" to delete cookies that websites have placed on your hard drive.

IMPORTANT: restart your computer, then attempt to purchase again.
(Note: if you have tried to make this purchase more than 3 times in the past 24 hours please wait a full 24 hours before trying again).

If you are still receiving an error message when trying to place the order, please contact us at sales@macspeech.com and one of our support representatives will contact you to provide assistance. Please include a copy of the specific error message you receive so we may be better able to assist you.

  21. I think I may have gotten a blank or corrupted data disk for Dictate. What can I do?
We have created an disk repair utility to help any customers diagnose and fix data disks without needing to have another one shipped to them.

If you suspect that your disk is faulty, you should download and use the first aid utility. You may need to run it multiple times if you have more than a few files that need to be updated.

  24. When I launch I get a message: “You can not launch this program because it is not supported on this architecture.” Is there a version of Dictate for G-4, G-5, or Power PC based Macs?

  25. When I use Dictate there is an echo or “reverb” affect, like my computer is talking to me. What’s happening?

To adjust this, please follow these steps:

    1. Click on the Apple in the top left-hand corner of the screen, and choose System Preferences
    2. Click on Universal Access

You can download the Quick Start Guide and Manual by going to the support center and click on the links listed under the section for MacSpeech Dictate.

  27. Can children or young people use MacSpeech Dictate?
The voices of pre-adolescents are not well-suited for use with speech recognition products for several reasons. For instance, the voices of children, or teenagers whose voices have not yet fully matured, do not have the right characteristics. Also, the younger the user, the less likely it will be that they have developed the necessary language skills to dictate. (If the intended user has not mastered the ability to write using complete sentences and thoughts, dictation software will not work well.)

Because of this, we do not provide technical support for the use of Dictate with anyone under the age of 14.**

**While most individuals' voices finish changing by age fourteen this is not always the case. Some 14-year olds may still be unable to use the software - particularly if they are male.

  28. Is Dictate a hands-free system?
Dictate is not a completely hands-free system. If you need a completely hands-free system due to a disability, please check with a local computer consultant who deals in systems for such purposes.

  30. Can I port over my Dragon NaturallySpeaking profiles to MacSpeech Dictate?
No. It is not possible to transfer profiles from different speech recognition systems to MacSpeech Dictate.

  31. How can I spell words letter by letter?
MacSpeech Dictate's Spelling Mode allows you to spell words letter by letter using the standard alphabet, or the International Radio Alphabet.

  32. I use a lot of foreign words, and Dictate doesn't seem to handle them properly. How can I add them to Dictate?
One solution for handling foreign words and proper nouns within MacSpeech Dictate would be to create a text macro. For the name of the text macro, use a short descriptive phrase comprised of common English words. That descriptive phrase should be something you could easily associate with the particular proper noun, foreign word, name, or place name. When you dictate the descriptive phrase, then the foreign proper name, proper noun or place name would be typed into the document.

You will not be able to use it to teach the software a high number of foreign names, or other foreign words. By teaching the software the proper pronunciation for a very large number of foreign terms, you might affect the recognition accuracy of regular English.

    The Longer Explanation:
Most speech recognition programs follow specific pronunciation rules for a specific language. In the case of MacSpeech Dictate 1.3, this is English. MacSpeech Dictate knows the approximately 80 phonemes that make up the English language and how letters combine within words to produce these various phonemes. However, foreign languages have different pronunciation rules. When you try to dictate foreign words that don't follow English pronunciation rules, MacSpeech Dictate takes a look at the spelling and thinks the word should be pronounced one way, according to the rules it knows about, when in actuality the word should be pronounced differently. Foreign language terms or place names will always be problematic.

  33. How do I switch between profiles in Dictate?

  36. How do I enlarge the text in the Dictate notepad?

If you are dictating into another program, you need to use that program's font increase options. There may be Key Commands that you can use to do this in various applications, too.

  48. What are some tips for getting Dictate to work optimally with my voice?
If you are having difficulty with Dictate accurately analyzing and recognizing your speech (i.e, during the voice profile creation, the text is constantly flashing red as you read), take note of the following tips to improve the ability of Dictate to work with your voice.

    1. Make sure your vocal chords are lubricated. Drink some water before starting, and keep a glass of water handy to drink periodically, especially after reading large chunks of text, to make sure your vocal chords don't dry out. This changes your voice quality, and the application may have accuracy issues.

    2. Don't get frustrated. If you are creating your voice profile, and the text is constantly flashing red, users have a tendency to start speaking louder, or to get frustrated, which causes your voice quality to change. If you are getting frustrated with the application, just close it down, and come back later when you are relaxed and in a calmer mode.

    3. Make sure you speak SLOWER at the beginning. The software has to adapt to your speaking style, and if you start off speaking fast, you will experience accuracy issues. Start off by reading phrases at a time, and pause between each to let the software catch up. As you get through the profile creation process, you will be able speed up as you go along about midway through, as the software recognizes your speech patterns.

    4. If you have a disability such as Multiple Sclerosis that affects your voice quality at different times of the say, you may need to create multiple profiles to account for how your voice sounds at those different times of day. Even if you don't have a disability that affects your voice directly, many peoples' voice quality changes from morning to night.

    5. Position of the microphone is VERY important. The microphone should be approximately two fingers width from your mouth. Some may need it further away, some closer, depending on the timbre and volume of your voice. This is a guideline.

    6. Don't look at the screen while dictating. This helps you keep an even rhythm.

    7. Speak in complete phrases, with a steady rhythm, with appropriate pausing.

    8. Remember to speak your punctuation. That provides the software the needed context for your speech pattern.

  49. What English option should I choose when creating a new voice profile in Dictate?
When creating a new voice profile, you choose a configuration for language. There are several different versions of English supported in MacSpeech Dictate v1.3. Please choose the English that you speak, NOT the English setting you have configured in the operating system. For instance, if you are from the UK, you would choose UK English, so the speech recognition is optimized for an UK accent, even if your system is set to US English.

  59. What are the system requirements for MacSpeech Dictate, MacSpeech Dictate Medical and MacSpeech Dictate Legal?
MacSpeech Dictate v1.5, MacSpeech Dictate Medical and MacSpeech Dictate Legal require the following:

    - Intel-based Macintosh
    - 1 GB of RAM
    - Macintosh OS X 10.5.6 or later
    - MacSpeech-certified USB Microphone (included headset or certified wireless microphone)
    - An Internet connection is required for product registration and activation

  60. What microphones/headsets are certified for use with Dictate?
A list of MacSpeech-certified microphones can be found at: http://www.macspeech.co.uk/microphones

Many people ask us what is the best microphone to use with Dictate. Like anything else, the answer depends a lot on your needs. If you are not happy with the accuracy you are achieving with a microphone that has not been certified by MacSpeech, our first advice would be to purchase a MacSpeech-certified microphone.

To work properly Dictate requires a microphone that produces the right kind of audio signal. We currently test all microphones we sell for use with Mac OS X. MacSpeech does not certify certain microphones from some well-known manufacturers because they do not provide enough signal strength for speech recognition on Mac OS X.

Some of the microphones that work well for applications like VoIP and Internet Chat will not work well with speech recognition because they do not provide enough signal strength (also called "gain").

Note: Neither Apple’s iSight camera microphones nor a Mac's built-in microphone are supported for use with MacSpeech Dictate 1.3 or MacSpeech Dictate 1.5.

  70. Under Mac OS X 10.4.11, which keyboard layouts are compatible with MacSpeech Dictate 1.3?
Under Mac OS X 10.4.11 (Tiger), some keyboard layouts are incompatible with MacSpeech Dictate 1.3. (See list below).

Note: MacSpeech Dictate 1.3 was the last version to support Mac OS X 10.4.x (Tiger).

These incompatible keyboard layouts contain data in an older standard format, which is insufficient to allow MacSpeech Dictate to type keystrokes. Most OS X v10.4.x (Tiger) keyboard layouts have been updated to a current standard format that Dictate supports. However, several widely-used keyboard layouts are still in the previous, incompatible format.

Please note that all keyboard layouts for Mac OS X 10.5.x (Leopard) support the current standard format, and are compatible with MacSpeech Dictate.

Below are lists of incompatible and compatible layouts. If this is an issue using MacSpeech Dictate with Mac OS X 10.4.x, you will need to switch to a compatible keyboard layout (U.S. is suggested), or upgrade to Mac OS X 10.5.x (Leopard).

  71. Commands appears as Recognized Text, but nothing happens.

    Description:

When MacSpeech Dictate recognizes spoken words as the name of a command, it will execute that command. If "Show Recognized Text Feedback" is selected in the General Preferences, then the command name should appear in the Recognized Text feedback field. This field is the area right below the Status window.

However, in certain cases, a command name will appear in the Recognized Text feedback field...but MacSpeech Dictate will not execute the command. For example, you say "Scratch That", and the words "Scratch That" appear in the Recognized Text feedback field, but the Scratch That command doesn't execute. (This command should delete the last word or phrase dictated).

    Solution:

    Step #1
Confirm the command is available. First, make sure "Show Recognized Text Feedback" is selected in General Preferences. Then, switch to Command Mode, and test one of the commands listed in the Available Commands window by saying its name. If the command name appears in the Recognized Text feedback field, but doesn't execute, then go to Step #2.

Note: If the command is not an available command, then it is likely that the command name is being interpreted as normal dictated words. Switch to Dictation Mode, open a new Dictate Note Pad document, and speak the command name to test this.

    Step #2
Create a new Profile. See Chapter 3 ("Getting Started") of the MacSpeech Dictate v1.2 User Manual for instructions.

  73. Does Dictate support Java applications such as Open Office or Neo Office?
Mac OS X allows applications written with a wide array of tools to run effectively and efficiently. This means that applications can be created without using what would be considered "native" application development tools. As a result, text fields and their contents may be unknown and inaccessible to MacSpeech Dictate.

Applications that have included full support for Apple's Accessibility API should provide a remedy for the situation. Additionally, any developer who has created a rich enough AppleScript implementation may have provided a possible solution that MacSpeech Dictate can utilize.

MacSpeech encourages any developer, regardless of their preferred development environment, to contact us for more information on how to best interact with MacSpeech Dictate.

  74. Can I use Dictate with Beta versions of other software?
At certain times, the beta versions of other software may appear to have incompatibilities with MacSpeech Dictate. This may include symptoms such as commands not appearing in the Available Commands window, or the inability to edit text fields in the beta application.

Beta versions of other software on Mac OS X are still in the process of being developed and tested, and there is no way to guarantee compatibility. However, beta versions do provide an opportunity for initial compatibility testing. We encourage MacSpeech customers to let us know about software that they use, or plan to use, by sending email to MacSpeech Feature Requests.

  75. What do I do if MacSpeech Dictate 1.5 crashes, or I experience an error?
    1. Please be sure you have the latest version. If you do not, visit the Update Center for instructions on updating.

    2. Some customers have experienced instability when using MacSpeech Dictate with Microsoft Word due to auto-caching of longer or more complex documents.

All editions of MacSpeech Dictate (including Legal, Medical, and International) provide a preference to allow the user to disable "Auto Cache" in Microsoft Word or TextEdit.

To adjust your preferences, choose Dictate -> Preferences... and then click Dictation. The dialog will look like the image below. Uncheck the box next to "Microsoft Word".

Note: If crashing occurs while using TextEdit, uncheck the Preferences box next to "TextEdit".

    3. Read these relevant articles in the Support Knowledge Base on how to deal with crashes or errors in your version of the software:

    4. If your issue persists after attempting the above fixes, please contact MacSpeech Technical Support.

  77. MacSpeech Dictate 1.5 is crashing upon creating a profile with UK Spelling.

Summary: Dictate 1.5.0 (Build 5006) may crash when creating a Profile with Spelling set to "UK".
The recommended solution is to update to Dictate 1.5.1 (Build 5105).

Issue: To our knowledge the issue only affects UK localization on some machines. Under Dictate 1.5.0, if the Mac OS X International Region Format is set to "United Kingdom" (System Preferences > International > Formats > Region) then a Dictate profile might not be created properly and could crash.

Solution: The recommended solution is to update to Dictate 1.5.1 (Build 5105).

    To update Dictate:

    1. Launch Dictate
    2. An Auto-update will come up and ask if you want to update to 1.5.1
    3. Update to 1.5.1

If the update did not happen automatically, do the following:

    1. Launch Dictate
    2. Click the "Check for updates at startup" check box located on the bottom of the Profiles window
    3. Quit Dictate
    4. Make sure you are connected to the Internet
    5. Relaunch Dictate and update to 1.5.1

If you have the "Show Profiles Window" turned off in Dictate preferences, then you will need to update manually:

    1. Quit Dictate
    2. Open System Preferences
    3. Choose International
    4. Choose the Formats tab
    5. Change the Region to "Ireland"*
    6. Make sure you are connected to the Internet
    7. Launch Dictate
    8. Activate or Create a Profile
    9. Go to the Dictate menu and choose "Check For Updates..."
    10. Update Dictate to version 1.5.1
    11. Quit Dictate.
    12. Change System Preferences > International > Formats > Region back to "United Kingdom"*
    13. Close System Preferences
    14. Relaunch Dictate.

*The change to "Ireland" offers the same system formats as "United Kingdom" but prevents the crash with Dictate 1.5.0. Once you update to MacSpeech Dictate 1.5.1, you are able to use the United Kingdom region format with the profiles you created.

If you have any problems updating, please see the instructions for updating, including a download option for the update, at the MacSpeech Dictate Update Center.

    5. The headset and Bluetooth USB adapter will find each other when in pairing mode and connect.
    6. The headset will be blinking blue every 10 seconds and the Bluetooth USB adapter will have a steady blue light once it is successfully paired.
